Guided Workflows

What Workflows Are

Workflows are step-by-step checklists that guide you through common landlord tasks so nothing slips through the cracks. You stay in control — the workflow walks you through each step and you confirm as you go.

Available Workflows

  • Renew a lease — guides you through extending or replacing a lease for an existing tenant
  • Rent a property — guides you through getting a unit ready and leased to a new tenant

More guided workflows are added over time.

Using a Workflow

Go to Workflows in the navigation, choose a workflow, and follow the steps. Each step points you to the relevant part of the app (creating a lease, adding a tenant, and so on) and tracks your progress so you can pick up where you left off.

Automatic Rent Charges

When a lease has a rent amount and a due date, the system posts the rent charge to the tenant’s ledger automatically on each due date — you don’t have to create the charge by hand every month. The charge appears on the tenant’s statement and updates their balance, and a confirmation email goes to the tenant.

Charges are posted idempotently: if the job runs more than once for the same period, the rent is still only charged once.

Automatic Late Fees

Configuring Late Fees

Set your late-fee terms on the lease:

  • Grace period — how many days after the due date before a late fee applies (for example, 5 days)
  • Fee amount — the late fee to charge

How Late Fees Are Applied

Once configured, the system checks each lease after the grace period and posts the late fee to the tenant’s ledger for you. The tenant sees the late fee as a charge on their statement, and their balance updates. You set it once on the lease — you don’t have to remember to apply it each month. Like rent, late fees are posted idempotently, so a fee is never double-charged for the same period.

Automatic Reminders & Notices

The platform sends email automatically so you and your tenants don’t have to keep track of dates by hand:

  • Rent charged — the tenant gets an email when rent is posted, with the amount and a link to their statement
  • Outstanding balance — tenants with an unpaid balance receive a reminder email (sent at most once a week so they’re never spammed)
  • Lease expiration — reminders go out as a lease approaches its end date (around 90, 60, and 30 days out) so renewal or move-out can be planned in time

These run on a daily schedule. You record payments as they come in (online rent payment inside the portal is not available yet — see Transactions & Ledger), and balances update accordingly.

Other Email Notifications

The platform also emails you and your tenants for key activity:

  • New maintenance requests and status changes
  • Lease invitations and tenant portal sign-in links
  • Support ticket updates

A broader automation rules engine — custom triggers, conditions, and actions you configure yourself — is not available yet.
