Overview
What Documents Are
Documents in the platform are files that have been uploaded and shared between parties — typically lease agreements, inspection reports, notices, receipts, and other records related to a rental property. They serve as a central repository so both sides have access to the same paperwork.
How Documents Are Organized
Documents are associated with specific properties, units, or leases. When you open the Documents section, you see all documents relevant to you, organized by their association. This makes it easy to find the lease agreement for a specific unit or the inspection report for a particular property.
Document Types
Common document types include:
- Lease agreements — the signed rental contract
- Addendums — modifications or additions to a lease
- Inspection reports — move-in/move-out condition records
- Notices — formal communications (rent increase, lease termination, etc.)
- Receipts — payment confirmations or deposit receipts
- Insurance certificates — proof of renter’s or landlord’s insurance
- Maintenance records — work orders, contractor invoices
Viewing Documents
Accessing the Documents List
Navigate to the Documents section from the main menu. You will see a list of all documents available to you, showing the document name, type, associated property or lease, and upload date.
Opening a Document
Click on any document in the list to view its details. Depending on the file type, you may see a preview directly in the browser (for PDFs and images) or be prompted to download the file for viewing in a separate application.
Supported File Formats
The platform supports common file formats including:
- PDF (.pdf) — the most common format for formal documents
- Images (.jpg, .png, .gif) — photos of documents, receipts, or conditions
- Word documents (.docx) — editable document templates
- Spreadsheets (.xlsx, .csv) — financial records or inventories
Downloading Documents
How to Download
From the document detail view, click the Download button. The file will be saved to your device’s default download location. You can also right-click a document link and choose “Save As” to specify where to save it.
Saving to Your Device
Downloaded documents are standard files on your device. You can move them to any folder, attach them to emails, or upload them to other services. The platform retains the original copy, so downloading does not remove the document from your account.
Printing Documents
To print a document, first download it or open the preview in your browser. Use your browser’s or application’s print function (usually Ctrl+P or Cmd+P). For the best results with lease agreements and formal documents, use the PDF version.
Document Organization
Documents Linked to Properties
Some documents apply to an entire property — for example, a property insurance certificate or a building inspection report. These appear when you filter documents by property and are visible to all users associated with that property.
Documents Linked to Leases
Lease-specific documents — the lease agreement itself, addendums, move-in inspection reports — are tied to a particular lease record. They appear in both the Documents section and on the lease detail page. When a lease ends, its documents remain accessible in the archive.
Finding Specific Documents
Use the search and filter options at the top of the Documents list to narrow results:
- By property — show only documents for a specific address
- By type — filter to lease agreements, notices, or other categories
- By date — find documents uploaded within a particular time range
- By name — search for a document by its filename or title
If you cannot find a document you expect to see, confirm that it has been uploaded and that you have access to the associated property or lease.
